Reports - Comparing Shopify and POS

Comparing reports is possible but you need to know that Shopify and your POS handle reporting differently.

Overview

Differences between reports

Because Shopify and POS applications handle reporting differently, you may find directly comparing reports to be inconsistent. The important part to know is that all your completed Shopify transactions are uploaded to your POS. You can validate reporting by checking a few individual transactions as you get started.

Returns
Shopify currently records returns with the same date as the original transaction rather than the return date, like POS applications. This may result in the total for online orders appearing to be different in your POS for a specified date range. Often using a wider date range can even out differences.

Net or Gross Sales
Check the definition of the reports you use. Are they calculating Net or Gross sales? For example, Heartland users' net sales calculations impact comparing reports with Shopify.

  • Shopify net sales = gross sales, less discounts and returns, plus taxes and shipping.

  • Heartland net sales = gross sales, less markdowns and gross returns.

To accurately compare reports between Shopify and Heartland's core reports, you may need to create a custom report in Heartland to account for taxes and shipping costs.

Products
โ€‹
Shopify product adjustment history is only available for the most recent 90 days. After 90 days, any manual inventory adjustments made directly on Shopify will no longer be visible. This may cause confusion compared to a POS inventory history over 90 days old.

Product and inventory reports

From the high-level Shopify product view to granular inventory adjustments, each view can be compared with a similar POS view.

Location: Shopify Admin > Products

Example: Shopify > Products

Example: Heartland > Items

Comparing SKU-level inventory on hand

Location: Shopify Admin > Inventory

Note: You may need to toggle between locations when comparing inventory at the SKU level

Example: Shopify inventory

Example: Lightspeed Retail (X-Series) product inventory

Comparing historical inventory changes

Location: Shopify Admin > [Choose a Product or Variant] > Inventory > Adjustment history

Important: Shopify adjustment history is only available for the most recent 90 days

Example: Shopify inventory adjustment history

Example: Lightspeed Retail (X-Series) product inventory movement

Filtering order types

Use Shopify's filters to see just your online or in-store orders. Save the filter to quickly view orders by source at a glance.

Example: Filter to view all in-store orders

Filter orders by App = Mortar to see in-store orders, filter orders by App = Online Store to see native Shopify orders
